Privacy notice
Havard Solutions, LLC operates LedgerMantle, a subscription workspace for business bookkeeping. This notice explains what the service stores, how that information is used, how long it is kept, and how to reach us about it.
Information used by the service
LedgerMantle uses your email address and account authentication information to sign you in and manage access. Session cookies keep you signed in and support account verification. It stores the workspace details, transaction records, and receipts that you enter, together with activity records used to track changes. Billing includes a subscription status and identifiers supplied by Stripe. Stripe collects payment details on its hosted pages; LedgerMantle never sees or stores card numbers.
How information is handled
We use this information to provide the service, secure workspaces, deliver account emails, manage subscriptions, and investigate problems. The service uses Supabase for account and workspace storage, Resend for account emails, and Stripe for billing. Your workspace owner can authorize accountants to review and export workspace records.
If Cloudflare Turnstile bot protection is turned on for sign-in, sign-up, and recovery pages, Cloudflare checks those requests for automation. It is not used on bookkeeping pages.
When you use receipt scanning, the receipt file is sent to Anthropic’s Claude API to read the vendor, date, total, and category into the transaction form. Anthropic processes it under its commercial API terms and does not use it to train models. If the photo carries a capture time or GPS position in its metadata, those are used as hints for the date and vendor; where reverse geocoding is enabled, only the coordinates (never the image) are sent to OpenStreetMap’s Nominatim service to find a nearby address. Nothing from a scan is stored until you save the transaction.
A transaction can carry a location. It is recorded only when you choose Use my location on an entry, which asks the browser for permission, or when a receipt photo you scan carries GPS metadata. The coordinates and, where reverse geocoding is enabled, a nearby address from OpenStreetMap are stored with that transaction and included in exports. You can remove the location from an entry at any time.
Cookies and tracking
LedgerMantle sets only the session cookies needed to keep you signed in and to confirm your authenticator. Signed-in pages end the session automatically after 15 minutes without input. It does not use advertising trackers, analytics scripts, or third-party embeds on any page.
How long records are kept
Ledger records and receipts stay in your workspace until you delete them or ask us to delete the workspace. When a subscription ends the workspace is locked, not deleted, so it can be reopened by subscribing again. Billing records are kept for as long as accounting and tax rules require. Database backups and security logs are retained for a limited period and then overwritten.
Your records and your requests
Workspace members with access can export ledger records or download attached receipts at any time while the workspace is open. To request a copy of your data, a correction, or deletion of your account and workspace, email support@ledgermantle.com from the email address on your account. We confirm account and workspace access before processing a request and tell you when it is complete.
What to upload
Upload only the business records you need to track. Remove unnecessary personal identifiers, full payment card numbers, and credentials from any document before uploading it.
Changes to this notice
We update the effective date above whenever this notice changes. Significant changes are announced to workspace owners by email before they take effect. Questions about this notice go to support@ledgermantle.com.
